Admission Requirements

Satisfactory Academic Progress Policy

The candidate must be at least 18 years of age and a high school graduate or equivalency. The candidate must be interviewed by a school administrator. (A telephone interview may be acceptable in some cases.) The Chrysm Institute does not currently admit students under post-secondary eligibility provision Ability to Benefit (ATB) test. A fully completed application form must be submitted along with a $50 application fee, a copy of High School diploma or equivalency, a copy of driver’s license, and immigration information (if applicable). The application fee is refundable only if the candidate is not accepted.

The Chrysm Institute is dedicated to maintaining honest, ethical and fair relationships with staff, students, clients, state boards and other schools. We admit students without regard to ethnic origin, and do not discriminate against any student regardless of race, color, creed, religion, sex or age.


Satisfactory Academic Progress Policy

All students who attend The Chrysm Institute of Esthetics will be held to our mandated Satisfactory Academic Progress policy regardless of payment method. A complete list of these standards is included in our school catalog ensuring notification of these expectations prior to enrollment in any program.

Minimum Satisfactory Academic Progress Requirements

Minimum satisfactory academic progress shall be determined by a cumulative grade average of theory and practicum grades of no less than 75% and 67% attendance rate. The attendance percentage is determined by dividing the total hours accrued by the total number of hours scheduled.

Grading Scale

The grading scale for both theory examinations and practical evaluations shall be as follows with a passing grade of a score of 75% (C) or above:

Excellent-A: 100-93, 

Very good-B: 92-85, 

Satisfactory-C: 84-75, 

Unsatisfactory-F: 74 or below

Academic Progress Evaluations

The qualitative element used to determine academic progress is a reasonable system of grades as determined by assigned academic learning. Students are assigned academic learning and a minimum number of practical experiences. Academic learning is evaluated at the end of each unit of study. Practical assignments are evaluated as completed and counted toward course completion only when rated as satisfactory or better. If the performance does not meet satisfactory requirements, it is not counted and the performance must be repeated. Student’s academic progress is evaluated at the end of each actual 300 clock hour interval.. The first evaluation will occur no later than the midpoint of any program. The final evaluation may include a comprehensive theory examination, final practicum evaluation and up to four mock state board exams. At the end of each evaluation period, the school will determine if the student has maintained at least 67% cumulative attendance since the beginning of the course which indicates, given the same attendance rate, the student will graduate within the maximum time frame allowed. Evaluations will include a review of theory test grades, missing exams or assignments as well as practical skill development. Adequate practical skill development shall be determined by the following:


1.)Passing grades in practicum evaluations

2.)Maintaining progression in skills determined by practicum evaluations

3.)Practicum hours yet to be completed in relation to hours remaining on the contract.


Students must maintain practicum progress that allows for completion of all requirements within the contract time frame.

Attendance Policy

Students are required to attend a minimum of 67% of the hours possible based on the applicable attendance schedule in order to be considered maintaining satisfactory attendance progress. Evaluations are conducted at the end of each evaluation period to determine if the student has met the minimum requirements. The attendance percentage is determined by dividing the total hours accrued by the total number of hours scheduled. At the end of each evaluation period, the school will determine if the student has maintained at least 67% cumulative attendance since the beginning of the course which indicates that, given the same attendance rate, the student will graduate within the maximum time frame allowed.


When a student must miss school, absences should be both valid and verifiable, i.e., illness, bereavement, etc. All students should notify the Institution if they are going to be late or absent as soon as is possible. It is the responsibility of the student to complete assignments and any material covered during the absence. A leave of absence may be granted at the discretion of the school director, provided the request is made in advance and in writing. Leave of absence will be evaluated on a case by case basis.

Determination of Progress Status

Students who meet the minimum requirements for attendance and academic performance are considered to be making satisfactory academic progress until the next scheduled evaluation. A hard copy of their Satisfactory Progress Determination will be made available to the student at the time of each evaluation. 


Warning

Students who fail to meet minimum requirements for attendance or academic progress are placed on warning and considered to be making satisfactory progress while during the warning period. The student will be advised in writing on the actions required to attain satisfactory academic progress by the next evaluation. If at the end of the warning period the student has still not met both the attendance and academic requirements, he/she may be placed on probation. An academic progress warning period extends to the next scheduled evaluation. A student can re-establish satisfactory academic progress within the warning period if he/she can achieve a cumulative grade average of theory and practicum grades of no less than 75% and attendance percentage increases to a minimum of 67% of the total clock hours scheduled to be completed.

Probation

Students who fail to meet minimum requirements for attendance or academic progress after the warning period may be placed on probation and considered to be making satisfactory progress while during the first probationary period, if the student appeals the decision and prevails upon appeal. Additionally, only students who have the ability to meet the satisfactory progress policy standards by the end of the evaluation period may be placed on probation. The student will be advised in writing on the actions required to attain satisfactory academic progress by the next evaluation. If at the end of the probationary period, the student still has not met both the attendance and academic requirements, he/she will be determined as not making satisfactory progress. Students may be placed on academic progress probation for the following:

1.)The institute evaluates the student’s progress and determines the student fails to achieve satisfactory academic progress within the warning          period AND 

2).The student appeals the negative progress determination at the beginning of the probationary period AND

3.)The institute determines that satisfactory progress standards can be met by the end of the subsequent evaluation period. OR

4.)The institution develops an academic plan for the student that, if followed, will ensure that the student is able to meet the institution’s              satisfactory academic progress requirements by a specific point within the maximum time frame established for the individual student. 

Re-establishment of Satisfactory of Academic Progress

Students may re-establish satisfactory progress by meeting minimum attendance and academic requirements by the end of the probationary period.

Appeal Procedure

If a student is determined to not be making satisfactory progress, the student may appeal the determination. The student must submit a written appeal to the school on the designated form with supporting documentation of the reasons why the determination should be reversed. This information should include what has changed about the student’s situation that will allow them to achieve Satisfactory Academic Progress by the next evaluation point. Appeal documents will be reviewed and a decision will be made and reported to the student within 30 calendar days. The appeal and decision documents will be retained in the student file. If the student prevails upon appeal, the satisfactory academic progress determination will be reversed. 


A student may appeal a negative progress determination for reasons he/she feels were mitigating circumstances that prevented the student from maintaining Satisfactory Academic Progress, such as death of a family member, illness, injury or other mitigating circumstances. In order for appeals to be considered, previously mitigating circumstances that prevented the student from maintaining Satisfactory Academic Progress must be resolved and possible for the student to achieve satisfactory academic progress by the end of the evaluation period. The appeal will be reviewed by appropriate personnel and a determination will be made. All decisions on appeal are final.

Maximum Time Frame Extra Instructional Charges

Students must complete their program within the enrollment contract terms. 150% of the contracted program length is considered the maximum time frame for completion. Maximum time frame terms are calculated as follows for students enrolled in a 600 hour Professional Esthetics, Master Esthetics or 1200 hour Professional/Master Combo program:


Professional Esthetics Full time students –45 weeks (900 Hours)

Professional Esthetics Part time students –75 weeks (900 Hours)

Master Esthetics Full time students –45 weeks (900 Hours)

Master Esthetics Part time students – 75 weeks (900 Hours)

Professional/Master Combo Full Time/Part Time Program –97.5 weeks (1800 Hours)

Professional/Master Combo Part Time/Part Time Program—112.5 weeks (1800 Hours)


Contract end dates will be extended by an approved leave of absence. The contract period will be extended by the same number of days taken in the leave of absence.



Interruptions, Course Incompletes, and Withdrawals

If enrollment is temporarily interrupted for a leave of absence, the student will return to school in the same progress status as prior to the leave of absence. Hours elapsed during a leave of absence will extend the students contract period by the same number of days taken in the leave of absence and will not be included in the students cumulative attendance percentage calculation. Students who withdraw prior to completion of the course and wish to re-enroll within will return in the same satisfactory academic progress status at the time of withdrawal.

Non-Credit and Remedial Courses

Noncredit and remedial courses do not apply to this institution. Therefore, these items have no effect upon the school's satisfactory progress standards


Transfer Hours

With regard to Satisfactory Academic Progress, a student’s transfer hours will be counted as both attempted and earned hours.

Extra Instructional Charges

If cumulative attendance falls below 67% and the student will exceed the maximum time frame allowed to complete the program, additional tuition rates of $250 a week will be assessed.
